The Opportunity:

The Administrative Assistant II for the Psychology department performs administrative and clerical functions in all duties related to the academic operation of the Department of Psychology and the Clinical Master program. This includes but is not limited to; receives, screens, and directs incoming calls, greeting/referring/assisting visitors, staff, students, or others, mail, e-mail, preparing documents and reports, arrange meetings and room scheduling, prepares and maintains files and records according to established guidelines, and liaising with the HR and finance business centers as necessary. This position also provides support to the department chair, program director/associate director, department faculty, and students.

Responsibilities:

  • Provides administrative support to the Program Director/Associate Director.

  • Assists with student advising, enrollment, academic requests, maintain student records, and registration.

  • Assists with graduate orientation and interview day.

  • Creates and processes graduate assistantship agreements. Liaise with the COS HRBC for any Workday-related transactions related to hiring.

  • Responsible for maintaining office equipment order and may perform routine troubleshooting as needed. Submits requests for work orders and technical support.

  • Assists with training FWS (Federal Work Study) part-time student assistants.

  • Assists faculty with semester tasks to ensure University deadlines and policies are followed. Oversees the collection of academic information from faculty including but not limited to collecting syllabi, book orders, and processing SPoIs.

  • Maintains inventory, check out paper and other equipment to building personnel and students. Orders office supplies and liaises with the finance budget business center as necessary/required.

  • Manages building labs and key access. Coordinates and books meeting spaces and room reservations.

  • Other tasks as assigned by department and/or supervisory staff.

Minimum Qualifications:

High School Diploma or Equivalent and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:

  • Experience in similar structured organizations/school or higher education environment.

  • Experience in administrative support work.

  • Ability to organize, multi-task, and prioritize to ensure timely completion of work.

  • Experience using Outlook, Word, Excel, and PowerPoint.

  • Strong verbal and written communication skills.
